Job Purpose:Responsible for providing administration assistance to the ODHR GM and CFO and the support to the project assignments of the divisions on ad hoc.Key Responsibilities:Perform administration and assistance for the T&E arrangements for ODHR GM and CFO, including Maintain diary, and arrange travel schedules and itinerary by coordinating with travel agency and following-up on any car pick-up requirements, T&E expense claim, etc.



  • Partner with division administrators of the organization to deliver secretarial support for cross-division / team work including business calendar planning and organizational transversal administration tasks, e.g. coordination for the order of year-end greeting cards, logistics arrangements for annual party or employee townhalls, etc.
  • Provide logistics assistance to Corporate learning and employee engagement activities as needed
  • Perform confidential data collection or employee data analysis as per assigned tasks
  • Agile work as back-up for HR PE work as appropriate and as required.
  • Contribute to overall operational efficiency by scheduling and prioritize appointments, arranging meetings, making reservations, etc.
  • Set up and coordinate major office meetings involving Managing Director.
  • Support the translation or Chinese proof reading of confidential documents as per assignment.
Person Specifications:Academic / Professional Qualifications



  • University graduates or above
Work Experience



  • 5 years of working experience in secretarial / administrative field
  • Knowledge of administrative and clerical procedures
  • Knowledge of business principles
  • Proven experience of producing correspondence and documents
  • Proven experience in information and communication management

  • Proficient in both spoken & written English
  • Strong interpersonal & communication skills, good time-management skills
  • Wording and numerical sensitive, detailed, organized and reliable personality
  • Good learning agility and growth mindset, willing to take initiative and contribute

  • Strong computer skills, especially in PPT and Excel
