The RoleThe purpose of the position is to keep on top of all the basic day-to-day administrative tasks of an office and manage the resource to all levels of employees in the company. Provide administrative support for a range of general administrative activities that improve internal operation and facilitate the smooth and efficient running of the office. Use their administrative skills to stay on top of daily office functions, working ahead on tasks whenever there is a chance, and anticipating the unexpected.
- Arrange logistics support for visitors including Entry Permit for visitor of Mainland China, transportation and hotel booking.
- Purchase office and pantry supplies (e.g. company envelop, pantry stuff, stationaries & other office stocks) to maintain proper level stocks.
- Maintain office equipment (e.g. copiers, printers and telephone) is operational and service per schedule. Arrange for service/repair as needed.
- Manage visitor badges, employee attendance record (in paper form) and car park permit.
- Assist and support the related administrative functions and in-house activities [e.g. employee onboarding (office tour), HR trainings, meeting room set up, corporate initiatives (Safety, Health & Wellbeing Day), Cascade Briefing, catering & luncheon, and Chinese worship events.]
- Provide front-desk service tasks including answering incoming phone calls, receiving visitors, sorting/distributing daily mail/deliveries, and handling outgoing mails to post office.
- Maintain office security by following safety procedures and controlling access via the reception desk (visitor log and issue visitor badges).
- Manage facility rental/vendor contracts and hotel contracts renewal.
- Manage administration budget and track/record all related expenses, ensuring all items are invoiced and paid on time.
- Assist all general administrative and ad-hoc projects or tasks assigned by Office Manager and all line managers.
Skills
- Fluent in spoken and written Chinese and English.
- Confident and clear interpersonal communication skills.
- Good capabilities at Microsoft Office software.
- Ability to use various office/pantry equipment.
- Strong organization, problem solving and time management skills when facing multi-tasking.
- Ability to work well and independently with minimal support to meet tight deadlines.
- Highly self-motivated, dynamic, self-starter and a team player.
- With a creative and detail-oriented mindset.
- Generalist background with broad knowledge of event planning and general affairs.
- Good working knowledge of administrative procedures and ability to perform logistics support efficiently.
- Good knowledge of interpersonal communications and teamwork.
- Business-related or Human Resource Bachelor’s degree
- With more than 2 years practical experience of working an office administrator/assistant or front desk receptionist.
