Key responsible for:
Office general administration in headquarter, procurement management with vendors pre-selection to contracts management and to ensure vendor contracts are well managed and delivered accuracy. In charge of Taiwan-based travel management with regular reviewing the contracts and travel policies. To support real estate & facility management and implementation of lease administration and financial management procedures with associated parties.
Main Responsibilities:
Office Administration:
- Office Administration and Maintenance
- Coordinate employee events- Birthday parties, Holiday events, etc.
- Provide back‐up support for headquarter reception
Travel Arrangement
- Business trip arrangement for Taiwan-based colleagues and visitors from worldwide
- Liaise with Group Procurement for vendor pre-selection and management
- Counterpart of all vendors related to travel (Amex, FCM, hotels) for quality assurance and to make travel arrangement more efficient
- Review and update local travel policy, timely manner
Procurement:
- Contracts Management: Liaise with Group Procurement team for DSC vendor contract management, provide support to contract review and renewal with legal team and business partners. Plan and manage all contracts to ensure that they are professionally deliver best value
- Responsible GMO procurement activities including creating new vendor list, requesting requisitions, monitoring purchase orders, contracts for services, payment request for vendors
Real Estate and Facility Management
- In conjunction with legal ‘s expertise, review of lease documentation and provide feedback on commercial terms and intent
- Record keeping and document control for all lease documents, and overall reporting handling on lease summary and occupancy info
- In cooperation with FICO, implementation of lease administration and financial management procedures on rental payment/accounting/treasury matter
- Vendor contract management (procurement vendor contract, lease contract, facility contract)
- Admin support for RE & Facility
