I. Job Overview

Supervise, lead and actively participate in the tasks of Ocean Freight department. Ensure total Customer Satisfaction and Operational Excellence through solid guidance of staff and related subcontractors.

II. Roles and Responsibilities

Procurement and Capacity Management

  • Negotiate Ocean Freight rates and Allocations with Carriers and nominated Co-loaders
  • Provide Market CIF rates and Allocation Report to AP Product as per their instruction and guidance.
  • Monitor Carrier performance / allocation and escalate issues via reporting channel when constant over / under capacities exist.
  • Execute local capacity management (optimize capacity / cost) within carrier policy.
  • Maintain and cultivate regular contacts with aligned local Carriers
  • Monitor Booking situation and take necessary action.

General Tasks

  • Lead and motivate team members to ensure timely, friendly and excellent service.
  • Responsible for all daily operations of team members and ensure compliance within Area guidelines, Company’s policies and procedures.
  • Review and cross check SOP(s) and quotation(s) as received from Sales Team and overseas offices.
  • Review and cross check invoices and statement(s) as received from carriers, subcontractors and overseas offices.
  • Work with Sales and Implementation Manager on account implementation, ensuring a smooth transition from Sales to Ocean Team
  • Update superiors on service standards of carriers and subcontractors
  • Distribute instructions and ensure team members to follow up and operate in line.
  • Execute daily operation tasks/activities – in line with JD and KPI.
  • Ensure/monitor system updated timely and data accuracy.
  • Review and cross check AR/AP report and ensure clients arrange payment on time.
  • Review reports and inform parties (superiors) concerned on any irregularities and claims.
  • Incident management – handle Customers’ complaints, claims follow up and coordinate with departments concerned on related issues.
  • To assist, train both new and existing team members when necessary.
  • Monitor team members’ performance and workload and provide assistant where and when necessary.
  • Conduct regular review of existing procedures and systems with team members and propose improvement / changes where required followed by implementation and control upon acceptance of proposal.
  • To take up additional tasks as assigned.
  • Back up for other team members when necessary.

III. Education and Experience requirements

  • Bachelor degree. Major study in Global Supply Chain, Logistics or Transportation is preferred.
  • Minimum 3-year Manager experience in 3PL / freight forwarder industry
  • Good understanding and experience in ocean freight consolidations, international and domestic freight, trucking and warehouse services.
  • Dangerous Goods awareness

  • Proposing disciplinary measures within department to Ocean Freight Manager.

  • Exception handling ONLY after consulting with Ocean Freight Manager.
