This position reports into the Manager Business Services Sanyi
Role Purpose:
The Coordinator Business Services is responsible for HR activities within the cluster. The role includes support of the management team of the cluster in recruitment and onboarding of new talent, managing engagement & development and time & attendance (incl. absence tracking). Handle the local learning and development related activities.
He / She is a true multitasker.
At cluster level, responsibilities for the role will include but are not limited to:
Recruitment: Supports line management in the Cluster Workforce planning · Assists line management in identifying recruitment needs and appropriate recruitment strategies · Coordinates recruitment process in accordance with Sibelco Group Recruitment policies for all non-managerial roles for the cluster · Coordinate with Partner HR Country for recruitment of managerial roles in Cluster · Ensure accurate and timely registration of new hires in Workday · Ensure accurate and timely communication and confirmation of new hire to the HR Country for payroll setup and implementation
Employee onboarding & offboarding: Organize and execute onboarding (incl. IT onboarding ticket) for all new employees and contingent workers (all levels) starting within the Cluster · Ensure orientation and induction plan is in place and communicated to all new employees and their line manager · At the employment, organize exit interview and proper offboarding in all systems (Workday registration and IT off boarding ticket)
Foreigner Worker Management: Manage the relationships with the employment agencies providing temporary resources within the cluster · Provide guidance to the line managers to ensure the correct process is followed when a need for Foreigner worker is identified · Manager registration of the Foreigner Worker in Workday as well as on-and-off boarding for this worker group
Time & Attendance and Leave & Absence Management: Ensure time & attendance and leave & absence tracking in the cluster is done in accordance with the country policies and procedures · Monitor adherence of workforce on the T&A and L&A policies and procedure, escalate issues to the line manager or to Director HR Sub-region when required · Manage T&A and L&A reporting to country, sub-region and global level
Termination: Organize exit interview with the appropriate person as per Sibelco termination process · Ensure proper and timely instructions are given to the Payroll specialist or Manager Finance & HR Country to ensure closing of payroll is accurately executed
Performance & Development: Takes responsibility for implementing and coordinating performance management processes in the cluster · Supports Line Managers in the cluster in employee performance management actions, facilitating continuous performance dialogues · Assists in career development issues, discussing career paths with line managers · Organize and deliver trainings
Employee engagement: Implement engagement activities within the cluster · Support engagement activity initiatives and plans within the cluster.
Learning & Development:Ensure learning and development process in line with global requirement. Ensure current implantation in line with ISO requirement and join the customer/ ISO audit when required.
HR Contact for cluster: Act as primary contact for the workers in the cluster on HR related matters · Investigates and resolves day-to-day employee relations problems, either directly or through advice to line management · Act as primary contact for the people managers in the cluster on HR related matters, provide guidance to the appropriate policies, procedures or HR colleagues
About you:
With a Bachelor Degree in HR Management or in an related field. You are looking for a more influential and multi-functional role, as a true contributor to an industrial multi-sites business. Commercially astute, you communicate and manage relationships well.
You are generally have knowledge and understand key HR disciplines, i.e Labor Standards Act, talent management, recruitment, performance management and record keeping.
You also have a strong affinity with technology and quickly adapt to new technology tools and processes. You are familiar with budget planning and enforcement, human resources, procurement, operational and H&S processes and procedures.
You are pro-active, able to work independently, as well as diplomatic and performance & action oriented, with strong problem solving skills.
And finally, you are hands-on and an expert at multi-tasking.
