PURPOSE

Support daily operation of material sourcing office and maintain good employee relationship. Represent the Group’s image as the first point of contact in the main reception area.

Key Responsibilities

Assistance to Country Manager
  • Provides administrative support for Country Manager, including e-mails, message communication, agenda preparation, meeting coordination, appointments, travel arrangements, prepare reports, presentation slides and general administrative tasks.
  • Supports and organizes events related to material sourcing operations such as Management Meetings, Summits, Factory Management Meetings etc.
  • Forms and maintains relationships with key organizational colleagues in material sourcing organization, other corporate functions and manufacturers (T2 suppliers).
  • Assists Country Manager to prepare expense report and settlement.
  • Coordinates confidentially with Human Resources in general personnel activities that are required by the Country Manager.
Administration
  • Provides general office administration support such as office renovation/relocation project, office equipment, org chart, seating list, contact list, stationery, printing, office facilities maintenance & repair.
  • Updates and maintains LO TWN SharePoint.
  • Company cars coordinating and acting as chief driver to check all driver’s O/T, mileage records and prepare all transportation related records.
  • Ensures that office safety and fire prevention issues are always given priority. Raises any concerns with the Office Manager.
  • Responsible for petty cash management & reimbursement; verifies accuracy of monthly billing statements from couriers.
  • Coordinates and assists office events.
  • Supports ad hoc projects per request.
Reception
  • Answers the primary company phone line.
  • Welcome, register, and arrange access cards for visiting guests.
  • Receives, sorts, and registers incoming mails, parcels, courier package, etc.
  • Manages information screens at reception and act as the customer service hotline taker.
  • Maintains tidiness of reception area, waiting area, and main conference rooms.

Knowledge Skills And Abilities
  • Customer-oriented with the ability to communicate and convey information both internally and externally
  • Good command of local and English languages (written and spoken)
  • Good IT skills including Excel, PowerPoint, Word.
  • A team player with good team spirit and strong service mindset.
  • Pleasant personality and proactive working attitude.
Requisite Education And Experience
  • Bachelor’s degree in business administration or related.
  • At least 3-5 years relevant work experience.
