What The Day Will Look Like

  • Provide overall / comprehensive administrative support to the CEO and serve as the gatekeeper for internal and external stakeholders.
  • Heavy calendar management – complex agenda and setting of meetings and conference calls across all time zones.
  • Support and coordinate all internal and external meetings, and all meeting logistics.
  • Coordinate CEO’s domestic and international travel arrangements; and assist with documentation related to overseas travel Visa, expedited travel services, ticketing, hotel, airport transfers, foreign exchange, ground transportation and expense reports.
  • Prepare, reconcile, and track expense reports through Concur; follow-up the payment process and reimbursement
  • Management of incoming and outgoing phone calls and communications with timely distribution.
  • Handle sensitive materials; maintain appropriate levels of confidentiality.
  • Support HR and Admin Department as needed.
  • Assist with staff engagement initiatives and perform other duties as assigned.

Skills And Experience That Will Lead To Success

  • Minimum 5 years of relevant experience as Executive Assistant, Secretary, or similar role. Prior Financial industry and Investor Relations experience preferred.
  • Executive level calendar management, meeting management, time management, strategic planning of tasks, complex travel management, expense processing, phone management
  • Exhibit initiative and resourcefulness to get tasks done quickly and efficiently with a high degree of professionalism
  • Exceptional communication and interpersonal skills - an active listener and clear communicator, both verbally and in writing; strong ability to communicate proactively, anticipating needs and escalating issues as necessary – utilizing tact and confidentiality. Be an excellent team player.
  • Strong ability to multitask and prioritize work based on potential impact.
  • Well organized, detail oriented and flexible
  • Fluency in English and Mandarin are required, Cantonese is a plus.
