Provide administrative support to officers and team members for IED/GCM Division. Work as part of the administrative assistant team of Taipei office, providing the efficient admin support to the broader team.Core Functions Of The Role
  • Act as first point of contact on matters related to Taiwan CEO/COO office. Applying discretion and judgement when dealing with sensitive information. Reviewing and prioritizing incoming communications and taking appropriate actions.
  • Navigate Firm’s resources, interface with various departments to collect information, respond to requests and obtain services.
  • CEO car schedule management / custodian of Chairman’s seals.
  • Schedule management, traveling and meeting arrangement for supervisors and/or visitors, coordinating and solving the conflicts and problems.
  • Plan and organize internal events including event registrations, conference room reservations, multimedia support, and catering arrangement where appropriate.
  • Meeting minutes taking/dashboard comprising for Firm Management.
  • Prepare and submit expense reports on a timely basis for travel or business-related expenses, follow up on discrepancies and missing receipts.
  • Act as main contact of preferred hotels/AmCham for MS Taipei office.
  • Various administrative supports, tasks or projects as assigned
Additional Responsibilities
  • Partnership and teamwork with other administrative assistants to provide admin services to Officers and Professionals in the Taipei office wherever required.
  • Follow up Compliance’s guidance on external mandatory training arrangement.
  • Perform as a system admin’s role on regulatory platforms, assisting on user account set up.
  • Facilitate the logistics / system access related for new hires and leavers.
  • Prior administrative or related experience at executive level is essential.
  • Excellent written, verbal and interpersonal communication skills.
  • Highly service-oriented individual with the ability to work well both as an individual contributor and as part of broader team.
  • Flexible attitude and highly trainable with ability to learn new systems and process.
  • Detail-oriented and thorough; well organized with ability to multi-task and meet deadlines with minimal supervision; ability to find solutions to various administrative problems and prioritize work.
  • Proficiency with all Microsoft Office software (Outlook, Word, PowerPoint, Excel)
  • Bachelor’s degree or above.
  • Preferable work experience in financial services industry.
  • Strong communication skills in both English and Mandarin essential.
