Job Summary

• Coordinates all work flows and staffing requirements within the Warehouse, including vacation relief, peak load, maintenance crews and special projects. Performs performance appraisals on all staff reporting to the Warehouse Supervisor.
• Creates electronic reports (Excel and SAP) for the Quality Manager on all relevant Warehouse processes and their effectiveness. Institutes corrective actions on non compliances within the Warehouse. Initiates and tracks corrective and preventive actions in accordance to Finance Quality Manual requirements. Maintains and updates all ISO related procedures and work instructions.
• Responsible for recording all pertinent information of samples using data entry of the on-line system, recording their locations. Forwards all information to appropriate departments. Ensures ALL non conforming product and samples are adequately segregated while final disposition is determined.
• Through SAP, tracks sample locations, movements, deletions, verification of submittor addresses and contact information. Responsible for recording stock movement on sample and standard tags and on SAP daily.
• Coordinates the shipment of samples, standards and labels from stock ensuring serial numbers, standards numbers, model numbers of goods are correct prior to shipping. Witnesses Canada Customs bond destructions and verifies against commercial invoices. Ensures all Canada Customs and Revenue regulations are implemented and adhered to.
• Is responsible for ongoing sample inventories. Creates reports for C&T and Finance Quality to determine final disposition of all stagnant samples. Works with outside auditors during inventory checks and assists when possible. Tracks down samples from jobholders and lab staff for manufacturer’s pickups.
• Provides front line support for CSA staff and manufacturers concerning the job (i.e. arrival of shipments, shipping details, tracing). Prepares special orders for CSA staff (i.e. annual conferences, marketing shows). Maintains equipment and infrastructure to ensure an efficient and safe working environment.
• Provides ongoing written and operational training to Warehouse staff in order to satisfy legislative and Due Diligence requirements. Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures.
• Liaises with CSA’s Custom Broker on a daily basis on commercial invoicing, bills of lading, goods issues and sample cards. Enters customs information on SAP and Dbase. Verifies all goods issue reversals from PGA’s with material number and corresponding bond numbers.
• Provides ongoing support to Finance Business Services as needed.
• Conducts periodic staff meetings.
• Provides monthly reports for inclusion in the Finance Balanced Scorecard.
• Utilizes proprietary Shipping software.
