Role Purpose:

The Assistant Customer Services is responsible for logistics activities for the Sanyi Cluster.

The role includes support of the management team of the cluster in handling and ensuring the correct workflow and of any external complaints.

Responsibilities:

1 - Customer onboarding

  • Act as the first line of service for customers, having the ability to serve them and to coordinate any commercial, technical or operational issues.
  • Ensure new customers are onboarded in accordance with company processes.

2 - Order and contract management

  • Communicate with customers to ensure order entry and amendments are carried out according to customer requirements and verify order information to ensure correct and compliant documentation is issued.
  • Communicate with internal departments and external companies to ensure that orders are dispatched in line with customer requirements whenever possible.
  • Ensure proper follow up on orders (e.g. order tracking, order changes, and managing pre-payments)
  • Raise order and invoice samples
  • Perform Billing (including credit notes)

3 - Customer Inquiry handling

  • Accept and log (CRM) external complaints and provide feedback after investigation by the QA Manager and in consultation with the Sales Manager.
  • Provide commercial support including, but not limited, to preparing, sending and following up offers and samples to customers.

4 - Data Management

  • Update systems and shipment files to ensure the work trail can be audited if required.
  • Accurately administer commercial master data, ensuring accurate, timely implementation of data where required.
  • Ensure accurate registration of prices and quotes in SAP system

5 - Logistics

  • Perform inbound and outbound forwarding activities for the cluster
  • Act as a key contact for local transport and shipping companies managing and following up on complaints, delays and other urgent matters
  • Plan internal transport at site and remote warehouses
  • Ensure correct registration and processing of the transport orders
  • Ensure correct verification of the logistical cost made
  • Arrange transport documents compliant with local legislation and company policies

About you:

  • A Bachelor’s Degree in Logistics, Business Administration, Transportation or any other relevant field.
  • You have a strong communication skills, both verbal and written.
  • Experience in SAP or SAP S4 Hana Transportation Management Module would be an advantage.
  • Strong attention to detail and organisational skills.
  • You are independent, proactive, and self-motivated, but also contribute towards a successful and collaborative work environment.
  • You are forward thinking and welcome challenges, seeing them as an opportunity to be innovative and creative as opposed to a barrier.
  • And finally, you are hands-on and an expert at multi-tasking.
